COMMON MEETING PHRASES: THOUGHTS ON PURPOSE

Sometimes I find myself giving active thought to certain matters that sometimes are wrongly classified as “trivial” or simply, “that’s the way it’s done, don’t question it or think too much about it”.

Whereas I respect that line of thought for reasons that it may have, I choose to investigate some common meeting phrases and share my thoughts in that regard.

1. “Colleagues” or “fellow”

This phrase promotes a spirit of teamwork regardless of ranking in the meeting such as that of leadership of the meeting through the Chairperson. Being assured that the leader considers the other members as colleagues or fellow members is a demonstration of leadership in itself.

2. “Through the Chairperson”

This is in my view is the converse of the item above. Whereas, all members agree that they are colleagues, leadership and its role in the meeting must be recognized. Good order entails that submissions and contributions to decision making is channeled through the Chairperson. This is to also aid the accuracy of the record of the meeting.

3. “ I propose” and “I second”

This is a step in the process of decision making by moving a motion on a matter and supporting it respectively. It may be countered or otherwise accepted by the membership, as the case may be.

4. “ I would like to get some clarity or understanding”

A polite manner of interrogation of matters under consideration to aid decision making. Recipients are encouraged to freely respond to questions without feeling disparaged.

5. “I would suggest that we explore or consider…”

Again, a non offensive avenue of urging the meeting to consider an alternative perspective or method, etc.

6. “I request”

A way of respectfully asking for information, documents or guidance etc.

7. “I respectfully beg to differ” or “ thank you for your comments. I however have a different view”

Having a different view, or a healthy exchange of opposing ideas can be a beneficial exercise for the organisation. What is important is a conducive environment that assures that the grouping is on the same team and acting in the best interest of the organisation. Using words that speak to respect for opinions and contributions is a critical success factor.

8. “ Thank you”

One of the greatest shows of gratitude, consideration and kindness. It’s human.
